Hours: .5 to .75 full-time equivalent
Salary: Minimum $19/hr starting
Reports to: Deputy Director for Philanthropy
Supervisory Responsibilities: No supervisory responsibilities

Position Summary: The Database & Membership Associate acts as the “keeper of data excellence” for Oregon Environmental Council (OEC) to ensure timely and accurate tracking of revenue and prompt acknowledgment of gifts to our respective funders. OEC currently uses the Salesforce Nonprofit Success Pack to manage fundraising, and the Database & Membership Associate works as a member of the development team to ensure Salesforce’s accuracy as OEC’s CRM by both entering data and serving as the system administrator.

Essential Duties and Responsibilities:

 Data Entry and Management (~40%)

  • Accurately and promptly enters into Salesforce pledges and contributions from individuals, businesses, foundations and government agencies, along with relevant contact and biographical information, and supporting documentation
  • Collaborates with Marketing/Communications team to provide relevant data from Salesforce for newsletters, alerts, etc.
  • Reconciles donation records with finance staff
  • Conducts regular Salesforce cleanup and backup

Salesforce Administration (~30%):

  • Creates and updates Salesforce tools to assist in fundraising strategies and analysis (reports, campaigns, benchmarks, dashboards, etc)
  • Acts as in-house system administrator for Salesforce, including maintaining users, roles and permissions, and training new users
  • Administers Salesforce integration with related online tools including Emma for Salesforce (E4SF), Give Lively and iWave, with consulting support as needed
  • Facilitates data migrations and batch data entry, with consulting support as needed

Donor Stewardship (~20%)

  • Prepares and sends membership renewal and acknowledgment letters
  • Assists with fundraising events (invitations, RSVPs, logistics) as needed
  • Personally contacts members as appropriate (thank you calls, handwritten notes, questions about contact info and communication preferences, etc.)

Additional Duties (~10%)

  • Provides general administrative support for development team when needed
  • Provides backup office support (distribute mail, respond to general inquiries, greet guests, etc.) when needed
  • Serves on internal “IT Support” team, troubleshooting common hardware, software, and office system problems for colleagues as needed

 Qualifications:

Required Experience and Education:

  • Minimum two years of administrative experience including strong data entry and database management skills, preferably with Salesforce Nonprofit Success Pack or other donor management databases
  • Skilled in Microsoft Office applications

Desirable:

  • Experience working in a non-profit setting with a mission-driven staff and board
  • Associate’s or Bachelor’s degree

Other Requirements:

Travel: Minimal travel is required.

Work Schedule: Work hours are typically stable and within a standard workday. During Covid-19 OEC staff are working from home and hours can be flexible based on need.

Physical: This job operates in a professional open-floor office environment with a moderate level of noise associated with personal conversations and office machinery. The employee must be able to see, hear and talk and have the physical ability to move around, lift light objects, and use standard office equipment such as computers, phones, photocopiers and filing cabinets.
